Setting Up Linnworks


Integration Specs:

Step-by-step guide

  1. Please obtain the FTP Host, Username, and Password from your FTP Host Provider. Extensiv Integration Manager will swap Orders, Confirmation, and Inventory files with Linnwork via FTP connection. Please contact Integration Manager support if you do not have FTP Access.
  2. Complete the following sections to properly set up your scheduled export/import. 

Configure Linnworks Order Export

  1. Please refer to Linnworks' Data Export - Creating Exports page and create a Scheduled Export for your account.
  2. Linnworks settings regarding Order Export:
    1. Export Name: Integration Manager - Orders
    2. Export Type: Open Orders
    3. Export File Name Option: NewOrders_[{DATETIME}].csv
    4. Data File Format: 
      1. File Delimiter: Comma
      2. Escape: Quotes
      3. Has Header: YES
      4. Data Column: 
        1. Column Position 0 --> Channel Reference number
        2. Column Position 1 --> Order Id
        3. Column Position 2 --> Order Date
        4. Column Position 3 --> Customer name
        5. Column Position 4 --> Address 1
        6. Column Position 5 --> Address 2
        7. Column Position 6 --> Address 3
        8. Column Position 7 --> Town
        9. Column Position 8 --> Region
        10. Column Position 9 --> Postcode
        11. Column Position 10 --> Country code
        12. Column Position 11 --> Buyer phone number
        13. Column Position 12 --> Customer email address
        14. Column Position 13 --> Shipping service code
        15. Column Position 14 --> Shipping cost
        16. Column Position 15 --> Order total
        17. Column Position 16 --> Order tax
        18. Column Position 17 --> Sub Total
        19. Column Position 18 --> Total Discount
        20. Column Position 19 --> SKU
        21. Column Position 20 --> Quantity
        22. Column Position 21 --> Line total excluding tax
        23. Column Position 22 --> Unit cost

Configure Linnworks Confirmation Import

  1. Please refer to the Linnworks' Data Import - Scheduled Imports page and create a Scheduled Import for Confirmation files.
  2. Linnworks settings regarding Confirmation Import:
    1. Export Name: Integration Manager - Confirmation
    2. Export Type: Open Order Tracking Number import
    3. Export File Name Option: Confirmations.csv
    4. Data File Format: 
      1. File Delimiter: Comma
      2. Escape: Quotes
      3. Has Header: YES
      4. Data Column: 
        1. Column Position 0 --> Order Id
        2. Column Position 1 --> Postal Service
        3. Column Position 2 --> Tracking Number

Configure Linnworks Inventory Import

  1. Please refer to the Linnworks' Data Import - Scheduled Imports page and create a Scheduled Import for Inventory files.
  2. Linnworks settings regarding Confirmation Import:
    1. Export Name: Integration Manager - Inventory
    2. Export Type: Stock Level
    3. Export File Name Option: INVENTORY.csv
    4. Data File Format: 
      1. File Delimiter: Comma
      2. Escape: Quotes
      3. Has Header: YES
      4. Data Column: 
        1. Column Position 0 --> SKU
        2. Column Position 1 --> Description
        3. Column Position 2 --> Location
        4. Column Position 3 --> Stock Level
